Program Policies

Program Policies

Mini Movie Makers: Lights, Camera, Kids!

Please review these policies before registering your child.

Registration & Payment

The program is for children ages 8–12, with enrollment limited to 15 participants. The fee is $325 per child for February 15–19, 2027.

A parent or legal guardian must complete one registration form per child and provide accurate, current information.

Submitting a form does not confirm enrollment. After reviewing your registration, LDI Pro will email payment instructions and the required parent/guardian release form. Your child’s place is confirmed once payment and the completed release have been received.

Payment is accepted by Venmo, Zelle, or check and is due [deadline]. Checks must clear before enrollment is confirmed. Places may be offered to another family if payment or paperwork is not received by the stated deadline.

Cancellations & Refunds

Cancellation requests must be submitted in writing to [program email].

  • Cancellation by [date]: [Refund terms.]

  • Cancellation after [date]: [Refund terms.]

  • Missed days, illness, or early withdrawal: [Refund terms.]

  • Participation ended by LDI Pro: [Refund terms.]

If LDI Pro cancels the entire program, families will receive a full refund of program fees paid.

Weather-related closures or other interruptions will be communicated by email or text. [Add refund, credit, or makeup arrangements for partial closures.]

Drop-Off & Pickup

Program hours are Monday–Friday, 8 AM–4:30 PM. Regular drop-off begins at 7:45 AM. A parent or authorized adult must arrive at 4:30 PM for pickup.

Children must be checked in with staff at arrival and checked out at departure. Do not leave a child unattended or before staff accept them into the program.

Please notify LDI Pro of absences, late arrivals, or early departures.

Extended Care & Late Pickup

Earlier drop-off and later pickup require advance arrangement and confirmation.

  • Earliest drop-off: [Time.]

  • Latest pickup: [Time.]

  • Extended-care fee: [Rate and billing increments.]

  • Unarranged late-pickup fee: [Terms, if applicable.]

Do not arrive before 7:45 AM or plan pickup after 4:30 PM unless an arrangement has been confirmed.

If delayed, call Anne immediately. Staff will contact parents and emergency contacts if a child remains after the agreed pickup time. If no authorized adult can be reached, staff may seek assistance from the appropriate authorities. Children will not be left unattended.

Authorized Pickup

Children will be released only to a parent/guardian or an authorized person listed in the registration records. Photo identification may be required.

Pickup changes must be provided in writing and confirmed with staff before departure. Provide applicable custody orders or legal pickup restrictions before the program begins.

Children may not leave independently without a separately approved written arrangement.

Allergies, Medical Needs & Support Needs

Parents/guardians must disclose relevant allergies, medical conditions, medications, and support needs during registration and report any changes.

LDI Pro will discuss these needs with families before attendance to determine appropriate arrangements and what staff can provide. Any individual care plan must be confirmed before the child begins the program.

Children must bring their own lunch and must not share food. LDI Pro cannot guarantee an allergen-free environment. Any additional food restrictions will be communicated before the program.

Medication & Emergency Medication

LDI Pro does not routinely administer prescription or over-the-counter medication. Where medically appropriate, families should arrange medication schedules with their child’s healthcare provider so doses are given outside program hours.

Any medication administration or assistance requires separate written parent/guardian authorization and advance written confirmation from LDI Pro. Parent permission or listing medication on the registration form does not, by itself, establish an arrangement. LDI Pro will agree only to arrangements consistent with applicable requirements and staff preparation.

If a child needs to carry or use medication during the day, including an inhaler or epinephrine auto-injector, the parent/guardian must provide relevant healthcare instructions and an emergency action plan where applicable.

The confirmed plan must identify:

  • Whether the child can self-administer and what assistance may be needed.

  • Where medication will be kept and how it will remain accessible.

  • Who will assist if the child cannot self-administer.

  • What staff should do in an emergency.

Do not send medication without confirming these arrangements. Any approved medication must be in its original labeled packaging and within its expiration date.

For a suspected severe allergic reaction, staff will follow the confirmed emergency action plan and call 911. Emergency medication does not replace emergency medical care.

First Aid & Medical Emergencies

LDI Pro does not provide on-site medical professionals. A basic first aid kit is available for minor cuts and scrapes. Staff assistance is limited to basic care within their abilities; staff do not diagnose injuries or illnesses.

For concerns requiring medical assessment, staff will contact the parent/guardian to arrange prompt pickup and appropriate care.

For a suspected medical emergency, staff will call 911, follow emergency personnel’s instructions, and notify the parent/guardian as soon as possible. Emergency assistance will not be delayed while attempting to reach a parent.

Emergency-care authorization will be included in the separate release form. A parent/guardian or designated emergency contact must remain reachable throughout the program day.

Illness

Keep your child home if they have a fever, vomiting, diarrhea, or a potentially contagious illness.

Return-to-program requirements: [Confirmed criteria.]

If a child becomes ill during the program, staff will contact the parent/guardian or emergency contact. An authorized adult must arrange prompt pickup.

Participation & Behavior

Children are expected to treat others respectfully, follow staff directions, use equipment responsibly, and remain within designated supervised areas.

Bullying, harassment, threats, physical aggression, and unsafe conduct are not permitted. Weapons or dangerous items must not be brought to the program.

Staff will provide guidance and involve parents when concerns arise. An immediate safety concern may require prompt pickup. Ongoing concerns may require discussion of support arrangements or continued participation.

Decisions will consider individual circumstances and available support. Applicable refund terms are listed above.

Activities & Program Changes

This is an introduction to filmmaking. Participants will have opportunities to explore different roles, but a particular acting part, amount of screen time, or assignment is not guaranteed.

Activities may be adjusted for the group, staffing, weather, or practical needs. Material changes to dates, hours, or location will be communicated to families.

Off-site activities or program-provided transportation would require separate advance information and parent/guardian authorization.

Film, Photography & Sharing

Participants will create one group short film. A digital copy will be provided to participating families and may include children’s images and voices.

Permission to appear in the film and distribute it to participating families will be addressed in the release form. Families declining permission should discuss participation options before enrollment is confirmed.

Promotional use requires separate permission. Declining promotional permission does not affect enrollment.

The film is intended for private family viewing. Families must not publicly upload the film, clips, or identifiable images of other children without permission from their parents/guardians. LDI Pro cannot control copying or sharing once files have been distributed.

Parents and visitors must obtain staff permission before photographing or recording activities involving other children.

Equipment & Personal Belongings

LDI Pro provides filmmaking equipment. Children do not need to bring a phone or filming equipment.

Label belongings and leave valuables at home. Personal devices should remain put away during activities unless staff give permission.

Report missing or damaged belongings promptly so staff can assist.

Communication & Records

Keep contact details, emergency contacts, pickup permissions, and relevant health information current.

LDI Pro will retain registration, acknowledgment, and release records. Relevant information may be shared with staff who need it to support participation or with emergency responders when necessary, consistent with the site’s Privacy Notice.

Report concerns about safety, staff conduct, or your child’s experience promptly to Anne.

Required Acknowledgments & Release

The registering parent/guardian must acknowledge the Program Information and agree to these Program Policies.

The separate participation agreement, emergency-care authorization, and film permissions must be completed before enrollment is confirmed. Promotional permission is optional.

Material policy changes will be communicated to families, with renewed acknowledgment requested where appropriate.
